How to collect documents from clients without the chase

For accountants, agencies, advisors and any client-facing team · 6 min read

Short answer: Send the client a request link listing exactly what you need. They photograph or upload the files from their phone — no app, no account — and the documents land in your workspace already labelled and filed against that client. You see what's in and what's outstanding, so you stop chasing.

Why document collection is so painful by default

Email and chat were never built for collecting paperwork. Files arrive across a dozen threads, named scan001.jpg, missing pages, in the wrong format. You forget who still owes you what, and the documents you do get still have to be downloaded, renamed and filed by hand. The fix is to turn collection into a single structured request instead of a scattered conversation.

Step 1 — Make a request that lists what you need

Create a request that spells out each document — "PAN card", "last 3 bank statements", "signed agreement". A clear checklist sets expectations, so clients send the right things the first time instead of guessing. See document requests.

Step 2 — Share a link the client can use anywhere

Send the link over WhatsApp, email or SMS. It opens in any browser — the client photographs documents with their phone or uploads existing files, with no app to install and no account to create. Removing that friction is the single biggest reason files actually come back.

Step 3 — Receive files already organised

Submitted documents arrive in your workspace filed against the right client and request — not as loose attachments. Because the text is read automatically, they're searchable straight away. More on how that's stored in collect documents and customer records.

Step 4 — See what's outstanding at a glance

Each request shows what's come in and what's still missing, so a quick look tells you who to nudge — no scrolling back through threads to reconstruct who sent which page. That visibility is what ends the chase.

Keep it secure and private

You're often collecting sensitive material — IDs, financials, signed agreements. Everything is encrypted in transit and at rest and stays private to you and your team. Clients submit to you directly, and you keep full ownership of the records. See security. Need signatures too? Pair this with e-signatures.

Frequently asked questions

How do I collect documents from clients online?

Send the client a request link listing what you need. They upload or photograph the files from their phone — no account required — and the documents arrive in your workspace already labelled and filed against that client.

Do clients need to install an app to send me files?

No. A request link opens in any browser, so clients can submit documents from their phone or computer without installing anything or creating an account.

How do I keep track of who has sent what?

Each request shows what has come in and what is still outstanding, so you can see at a glance who still owes you documents instead of scrolling back through email and chat threads.
